Council Board Members – Elected Positions

President:

As president you are the face of Council and responsible for the following:
  • Schedules and presides over all meetings, including: board meetings, General Membership meetings, Leadership Meetings, Special Meetings, and Annual board retreats and council orientations if needed.
  • Serve as spokesperson for the council.
  • Conducts election of nominating committee/election of Executive Committee Officers per the Issaquah PTSA Council Standing Rules.
  • Appoint non-elected positions and committees per the Issaquah PTSA Council Standing Rules.
  • Be an ex officio member of all committees except the nominating committee.
  • Disseminate and communicate all information received pertinent to PTA purposes and programs.
  • Coordinates, with input from the council board of directors, the council’s programs and activities. Connect responsible parties (council board, school or district) to collaborate the related programs and activities.

 Vice Presidents of Secondary Schools (1) and Elementary Schools* (2)

  • Act as assistant to the president.
  • Familiar with duties of the president and assists in those duties upon request.
  • Attend District Leadership Meetings, if more than one vice presidents, at least one vice president needs to be attend the leadership meetings.
  • Performs the duties of the president in the absence or inability of that officer to serve.
  • Coordinator of local PTAs in a designated area
  • Serves a as liaison between the executive committee and local PTAs in the council.
  • In charge of planning the council’s May End of Year Celebration General Membership Meeting.

Secretary

  • Prepare agenda and accurate minutes of all meetings (board meetings, General Membership Meetings and District Leadership Meetings).
  • Provides attendance sign-in sheets at council meetings.
  • Notifies the president of any unfinished business.
  • Provides a synopsis of council minutes to the communications chair in a timely manner.
  • Is responsible for correspondence as designated by the president.
  • Is responsible for filling and submitting the district facility request for the council meetings, training, programs and events.
  • Is responsible for making the council’s yearly calendar,
  • Maintain rosters of the members of council standing and special committees and of local PTAs served by the council with names and addresses of their officers.

Treasurer

  • Maintain accurate financial records.
  • Receive, issue receipts for, and deposit promptly in an authorized PTA account all funds, and disburse funds according to the approved yearly budget.
  • Present a written financial report each month and at each regular meeting and such other times as requested by the president or any member of the board.
  • Serve as chair of the budget committee and present the budget to the membership.
  • Prepare and file the appropriate IRS informational forms (990-N, 990-EZ or 990 and 1099- NEC), annual incorporation renewal to Secretary of State, Charitable Solicitations report, business license, and any city/county licenses in a timely manner.
  • Ensure that appropriate and adequate insurance (liability insurance at a minimum) is purchased for the PTA.
  • Maintain a copy of the Council’s Legal Documents Notebook.
  • Close the books at the end of the fiscal year and submit the books and records for financial review to the financial review committee no later than thirty days thereafter.
  • Be knowledgeable of and perform the duties included in the Treasurer Handbook.

Advocacy

  • Encourage attendance at WSPTA’s Legislative Assembly, encourage local PTA advocacy chairs to attend WSPTA Annual convention and region training events.
  • Educate local PTAs about WSPTA’s legislative platform and the value of PTA’s advocacy activities.
  • Educate local PTA presidents about the need for an advocacy chair.
  • Maintain regular communication with advocacy chairs within the council.
  • Offer council training for local PTA advocacy chairs.
  • Arrange council gatherings at legislative assembly.

Family & Community Engagement (F.A.C.E)

  • Help local PTAs build strategies for engaging all families, as well as strengthen ties with the local community and school district.
  • Educate local PTA presidents about the need for family and community engagement.
  • Increase awareness of diversity and inclusion issues.
  • Maintain regular communication with family and community engagement chairs within the council.
  • Assist local PTA chairs by helping them build relationships with school and district personnel.
  • Create community relationships that benefit local PTAs, such as with local food banks, translation services, or city government.
  • Offer training on family and community engagement in collaboration with Parentwiser.
  • Share information and newsletter content with local PTAs that is relevant to all families in the school district.

Membership

  • Regularly convey information about PTA member benefits to local PTA membership chairs.

  • Encourage local PTAs to not only ask for help with membership challenges but also share tips about their successes.

Communication

  • Maintain the Issaquah PTSA Council Website,

  • Maintain and updated Issaquah PTSA Council Email Accounts and Online Workspaces, assuring the email account password updates annually,
  • Maintain Issaquah PTSA Zoom account or online conference meeting account,

Our Outreach program fosters communication and awareness of both the needs and the resources occurring in the greater Issaquah community. By sharing information from organizations like Issaquah Nourishing Network, the PTSA network can easily bring together those who are seeking assistance with those organizations and individuals contributing resources. ParentWiser (Parent Education)

    • Research, organize and establish funding for an annual parent ed speaker series of 4+ events for all parents across the Issaquah School District, based on timely parenting topics
    • Provide support and partnership to other parenting events in our schools and community as needed and appropriate

Art Docent

    • The Artistic Support program empowers arts education and supports our Art Docents by providing training, an annual conference, curriculum, and various projects that affect our docents district wide.     • The council Art Docent chair is responsible to provide guidelines to local PTA/PTSA art docent chair as well as collaborate with the district leaders to make sure the curriculum is align with the district requirements.
    • Is responsible for collaborating with other organization to find the extra resources to support this program

Reflections

    • Hold an Annual Reflections Art Walk for the local PTA/PTSA reflections winners.
    • Offer a Reflections program and judge entries before entries are sent to WSPTA. The Reflections handbook, deadlines, other documents, and resources are available on the WSPTA website under Leader Resources.
    • Be knowledgeable of and perform the duties included in the WSPTA Reflections page.
    • Performs any other duties designated in the council’s standing rules or requested by the President.

    Example Timeline:

    • May-September: book facilities for Reception (January-ISD) as well as training and turn-in date (September and November – KCLS)
    • September: collect School Chair’s info and communicate training date, run training session
    • October: make reception invitations to hand to School Chairs in November
    • November: collect submissions and ensure compliance with National rules
    • December: judging and preparations for reception. Order ribbons and format program
    • January: Receptions (IHS, 2nd Tuesday in January). Get lots of help! Ask artEast for Grids for display. State submissions due in January (drive to WSPTA office in Tacoma).
    • March: State results are available; post on District website and share with ISD.
    • April-May: facilitate retrieval of District art back to PTA Presidents.

Council Board Members – Liaisons (Ad-Hoc Committee)

Issaquah Schools Foundation Liaison

Attend monthly evening Foundation board meetings and attend monthly daytime Council board and general meetings (3 total in the month).

Act as liaison between the 2 groups transferring information by giving reports at each meeting as needed. Also determining and setting up speakers for the Council board and general meetings.

Advocating for people to attend Dining for Kids and Nourish Every Mind Breakfast and Lunch

Volunteers for Issaquah Schools (VIS) Liaison

Serve as a liaison between Volunteers for Issaquah Schools and the Issaquah PTSA Council board of directors and membership. The VIS liaison provides information to our PTAs so our community can make informed decisions to promote a yes vote for bonds and levies for our school district. The Council VIS liaison will share information from VIS with our VIS Representatives in each school about ballot measures and volunteer opportunities during campaigns.

LOCAL LEVEL – School PTA/PTSA Level Liaisons/Representatives:

Family and Community Engagement (FACE) Liaison Job Description for Local PTA/PTSAs

As local PTA FACE Liaison you will connect new families to the school community.

  • Establish a relationship/connection with your school’s Family Partnership Liaison (FPL – a district employee).  This is the person who will likely welcome the new family to the district and school.
  • The FPL will provide your contact information to the new family and may (if given permission) provide you with the new family’s contact information.
  • Connect with these families and welcome them (personally) to your PTA and any events and meetings.  Some families may not know what PTA is.  So, you will have to educate and inform them about PTA.
  • Work closely with your school’s FPL.  If the family needs a multi-lingual connection, your FPL will make arrangements for that.

Above all, know that you are NOT alone in this process.  You can always come to your PTSA president or the Issaquah PTSA Council FACE Chair for help.

Parent Ed Rep

The Parent Ed Rep is a volunteer position in each school with the mission of helping parents in the Issaquah School District become more effective parents. We do this by disseminating information about ParentWiser.org events.  ParentWiser is a district-wide committee of parent ed reps that curates a speaker series of nationally known speakers and engaging documentary films and is sponsored by the Issaquah PTSA Council, Issaquah Schools Foundation and Swedish Medical Center.  Your role is to help raise awareness to get maximum attendance and help organize parenting events in the following ways:

  • Represent ParentWiser as your local school’s PTSA contact/organizer
  • Inform your PTSA board, membership and general school population monthly of upcoming ParentWiser events, and present 2-3 mins at each PTSA General Membership Meeting at your school creating awareness to register for the events on http://ParentWiser.org/events .
  • Ensure ParentWiser enews blurbs and flyers appear in your local school and PTSA Enews, websites, calendars, Facebook pages, and Peachjar.
  • Print colored flyers for ParentWiser events and post on your entry bulletin boards or acrylic stands in lobby
  • Volunteer for at least 1 ParentWiser event throughout the school year for setup, cleanup or other services as needed during events (speaker series listed at http://ParentWiser.org/events)
  • Provide input to ParentWiser Committee representing your local school needs/interests (via either quarterly meetings or email)
  • Host/organize additional parent education events at your own school (contact ParentWiser@issaquahptsa.org for local speaker suggestions, recommendations, or support; ParentWiser can also help you advertise to other schools in our district)

Volunteers for Issaquah Schools (VIS) Rep

  • A VIS Rep can be 1-2 people willing to facilitate sharing information to their organization/group (ex: PTA, Homeowners Assoc., NextDoor group, or any other organized club/group/business) and help organize volunteers with various activities that support the passing of school bonds/levies. This role can be as simple or as involved as one would like!
  • The VIS Board Members and Steering Committee do the main tasks during the campaign, and then reach out to local VIS Reps with info to share or requests for help. You are never left on your own and have our full support as a team! The committee works to make tasks easy for our volunteers.

Tasks may include:

  • Hosting/organizing a speaker presentation to your group • Sharing information with your organization for distribution
  • Sharing information via social media, newsletters, etc.
  • Encourage voters to pass school bonds/levies and to endorse them
  • Organizing volunteers for sign Honk & Waves near voting dates
  • Organizing volunteers for distributing literature door-to-door (for bonds)
  • Possible help with postcard/letter mailings

At minimum, a VIS Rep would help with the first four tasks, and let the committee know if they need help with or are unable to participate in the remaining.
